This policy covers the Gaydio Academy website, www.gaydio.academy. The Gaydio Academy is the training side of Gaydio, provided by Gaydio CIC and Gaydio Brighton Ltd. Together they are the data controller for the information described here, and in this policy they are "we" or "us".

What we collect, and why

Applying for a course, volunteering, getting in touch or asking to be kept updated. These forms are run by Beacon, the system we use to manage our courses and the people on them, and appear on our pages in place. We collect what the form asks for, usually your name, contact details and age, and what you tell us about why you're applying. We use it to consider your application, run the course, keep in touch about it and, if you ask us to, tell you about future courses.

Some application forms also ask optional questions about you, such as your gender identity, sexuality, ethnicity or any disability. You don't have to answer them. We use the answers to make our courses accessible and to report anonymised, overall figures to the funders who pay for the courses. We only collect them with your explicit consent, which you give by answering, and you can withdraw it at any time.

Partnership enquiries. The Partner With Us form collects your name, email address, organisation, job title, the kind of partnership you're interested in and your message. We use it to reply to you.

Visiting the website. Like any website, ours receives your IP address and basic information about your browser when you visit. We use it to keep the site running and secure, and to count visits in total without identifying anyone.

Our legal basis

We answer enquiries, consider applications and run courses because it's in our legitimate interest as a not-for-profit training provider to do so, and in yours as someone who has asked us to. When you ask to be kept updated about future courses, we rely on your consent, and every message we send tells you how to stop. The optional questions about your identity or background are special category data, and we only process them with your explicit consent. We only use Google Analytics and the Meta Pixel with your consent, which you give by clicking Accept and can withdraw through "Cookie settings".

Who we share it with

We never sell your information. We use a small number of companies to run the site and our courses on our behalf, and most of them may only use your information to do that work for us. Google and Meta are the exception: if you accept them on the cookie banner, they may also use what they learn about your visit for their own purposes, including advertising, under their own privacy policies.

Beacon holds course applications, volunteering interest, contact and keep-updated requests.

Cloudflare hosts this website, protects it from abuse and keeps the copy of each partnership enquiry.

Microsoft provides the email we use to send partnership enquiries to the Academy team and to reply to you.

Google (Google Analytics) and Meta (the Meta Pixel) receive information about your visit, but only if you accept them on the cookie banner. See Cookies below.

Our funders receive anonymised, overall figures about who took part in a course. If a funder ever needs more than that, the application form will say so before you apply.

Some of these companies may process information outside the UK. Where they do, the transfer is covered by UK adequacy regulations or by the UK's approved data transfer agreements.

How long we keep it

Partnership enquiries are kept for two years and then deleted automatically. The IP address and browser details sent with each one are kept for 30 days to help us stop spam, and the IP address is also used for one hour to limit how many messages can be sent in a row.

Course and volunteering records in Beacon are kept for as long as we need them to run the course and to report to the funder who paid for it, and then deleted.

Keep-updated requests are kept until you ask us to stop.

Cookies

This website does not set cookies of its own.

Google Analytics and the Meta Pixel. With your permission, we use Google Analytics (GA4, measurement ID G-7NFK7FT7HQ) and the Meta Pixel (ID 763117143389856) to measure visits to the site and how well our advertising works, for example how many people view a course page or click through to apply. Neither loads until you click Accept on the cookie banner. If you click Reject, or ignore the banner, neither loads at all. Google and Meta set their own cookies when they load, under their own privacy policies. You can change your choice at any time through "Cookie settings" in the footer of every page, and we ask again after 180 days.

We also count visits with Cloudflare Web Analytics, which does not use cookies or identify you.

Some pages show content from other services: Beacon's forms, videos from YouTube or Vimeo, and Google Maps. When a page shows one of these, that service may set its own cookies, under its own privacy policy. You can block or delete cookies in your browser's settings, although an embedded form or video may not work without them.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected if it's wrong, to have it deleted, to restrict or object to how we use it, to have it sent to you or someone else in a usable format, and to withdraw any consent you've given.

This website links to other organisations' websites, including our funders and partners. This policy covers our website only, so please read theirs when you visit them.

Complaints

If you're unhappy with how we've handled your information, please tell us first through our contact form. You can also complain to the Information Commissioner's Office, the UK's data protection regulator.

We'll update this page if anything here changes. It was last updated on 20 October 2026.

Under 18 and applying for a course?

We need a parent or guardian's consent before a young person can take part. Get in touch and we will send the consent form and talk you through it: it takes a couple of minutes and we would rather do it properly than at the last minute.
